    Owner’s Handbook

    This handbook explains how CTRL Booking manages properties, reservations and day-to-day operations, and what we ask from property owners in return. It is designed to give you a clear understanding of our procedures, responsibilities and working standards so that our collaboration remains efficient, transparent and commercially successful.

    Our operating procedures are based on practical experience managing short-term rental properties and are designed to protect guest satisfaction, property standards, reviews and long-term rental performance.

    Please read this handbook carefully and refer back to it whenever you have questions about how a particular situation is handled.

    Important

    This handbook is an operational guide and does not replace the Property Management Agreement. Where there is any inconsistency between this handbook and your signed Management Agreement, the Management Agreement takes precedence.

    Guest communication

    All guest communication is handled by CTRL Booking. This keeps messaging consistent, ensures complaints are handled
    professionally and allows suspicious or high-risk enquiries to be screened appropriately. In some cases, we may decline to respond to or may block an enquiry where we believe this protects the property or listing reputation.

    Linen and towels

    CTRL Booking supplies and manages the bed linen and towels used for guest stays rather than relying on the owner’s stock.
    Our linen is commercially laundered. This avoids the need for owners to maintain multiple full sets and reduces replacement costs from staining or damage.

    Where guests request additional linen or towels during a stay, we can provide them and may charge the guest for the
    laundry and staff effort. For stays longer than seven nights, an additional set is normally placed in the property before arrival at no extra charge to the guest.

    Cots and high chairs

    Where the property does not already provide them, each managed property may receive one cot and one high chair for guest use, subject to availability. Additional units may carry a guest charge.

    Forgotten guest belongings

    Items found after checkout are documented and the guest is contacted through the relevant booking channel. If collection
    is not practical, shipping is arranged only after the guest covers the shipping cost. Unclaimed items are normally held for 10 days and may then be treated as abandoned and disposed of responsibly.

    A/C and ceiling-fan remotes

    Remote controls are frequently lost or damaged. Where necessary, we may replace them with compatible universal remotes to restore functionality quickly. Owners who prefer the original remotes to be stored safely can ask us to use universal remotes for guests from the outset.

    Extra keys and electricity cards

    Where an electricity-card system is installed, a second key/card can allow air-conditioning to remain on while guests are away. We may therefore charge guests for additional key/card sets, with the amount reflecting the likely additional energy exposure and the property configuration.

    Public holidays

    As a standard operating rule, new check-ins and check-outs are not scheduled on official Cyprus public holidays. Guests already in residence continue to receive normal support. Owner use on these dates must be arranged in advance, and preparation or support services may be limited.

    Villas: changeover time

    Villas require more extensive cleaning, inspection and often pool/garden coordination. We therefore normally require a 24-hour gap between a villa checkout and the next check-in. Where operationally possible, reasonable late-checkout requests may be accommodated because villa guests often pay a premium and expect a correspondingly high level of service.

    Direct bookings through Estea Rentals

    We promote managed properties through our direct-booking channel (www.Estea-Rentals.com). Direct bookings can reduce
    third-party platform costs and can improve the net economics of a reservation. CTRL Booking manages payment collection and reflects the relevant amounts in the owner’s monthly reporting. Owners who do not wish to accept direct bookings should notify us in writing.

    Refunds and guest compensation

    ·       Owner-related cause: where a refund results from an owner responsibility — for example unpaid utilities or a delayed/declined action needed to prevent a complaint —
    the owner bears the refund. Management commission may still be calculated on the full reservation where our service was fully provided.

    ·       CTRL Booking error: where the refund results from our own operational failure, CTRL Booking bears the refund and the owner should not be financially penalized for that failure.

    ·       External/uncontrollable
    cause:
     where the issue is outside both parties’ reasonable control, the financial treatment depends on the circumstances and the management agreement. Our priority is to limit loss while protecting the listing’s long-term reputation.

    Dynamic pricing

    CTRL Booking controls day-to-day pricing through a dynamic pricing model that responds to demand, seasonality, booking pace, market conditions, competitor positioning and the property’s own performance. The objective is total revenue and sustainable occupancy, not simply the highest possible nightly rate.

    New listings may initially be priced conservatively while the market response is tested. As conversion and booking data improve, the pricing system can push rates upward. Owner suggestions are welcome, but final pricing decisions remain within the management framework agreed with CTRL Booking.

     
    Communication with owners

    Guest support operates around the clock, but owner communication follows normal business hours unless there is an urgent property issue. Property-related communication should remain in the dedicated WhatsApp group so the correct team members can respond and a searchable record is retained. Please avoid directing routine property matters to individual staff members privately.

    Owner-made reservations and private guests

    Owners may host family, friends, personal guests or privately sourced guests, subject to existing confirmed reservations and advance coordination with CTRL Booking.

    If CTRL Booking manages the stay, including check-in information, key arrangements, guest communication, emergency support or cleaning coordination, the stay is treated operationally like a normal reservation and the standard management commission applies.

    If the owner manages the stay entirely without CTRL Booking involvement, no management commission is charged. The owner must handle all communication, support and troubleshooting, must not share CTRL Booking’s private team contact details or office information with the guest, and remains responsible for covering the cleaning fees.

    For every owner-arranged stay, we require the primary guest’s full name and contact details. Standard timings remain check-in from 15:00 and check-out by 11:00 unless a different arrangement is confirmed in advance.

    Owner use of the property — free-use allowance and extended-use fees

    An “Owner Use” night is any night during the management term when the property is reserved, occupied or otherwise blocked from guest availability at the owner’s request without a standard accommodation charge being collected.

    Important seasonal limitation
    Owner use is free of any additional owner-use fee for up to 45 nights between 1 June – 31 October in the same calendar year. If owner use exceeds that allowance, the Extended Owner-Use Fee below applies.

    Cleaning for owner stays

    Owner stays are prepared to the same standard as guest stays, so the normal cleaning fee applies. If you want to use your own linen or towels, omit consumables, or request a different setup, tell us before each stay so we can plan accordingly.

    Utilities and recurring bills

    Owners are responsible for keeping electricity, water, internet, taxes and other property-related accounts paid and active. Automatic payments are strongly recommended. Service interruptions can cause immediate guest complaints, compensation claims and reputational damage. Repeated owner-caused interruptions may also create additional administrative costs.

    Municipality charges, VAT and tax

    Where applicable, CTRL Booking may assist with the operational collection and payment of municipality guest taxes. These amounts are pass-through taxes and are not owner profit. VAT, income tax and all other owner tax obligations remain the owner’s responsibility. Owners should obtain advice from a qualified accountant or tax adviser rather than relying on this handbook for tax compliance.

    Complex management and owner committees

    CTRL Booking does not act as the owner’s formal representative with building management companies or owners’ committees. Matters such as communal pools, elevators, shared water systems, parking rights and common-area decisions often require owner authority. We can provide photos, observations or operational information to help the owner communicate with the relevant party.

    Properties must be vacant during staff visits

    Cleaning and maintenance visits are designed to be carried out independently. Owners should not remain in the property while our staff are working unless an exception has been agreed. If an owner is present during an agreed exception, instructions and feedback must be directed to CTRL Booking management rather than directly to cleaners, maintenance staff or contractors.

    Owner belongings left at the property

    During onboarding and ongoing management, items that are personal, unsuitable for guest use, outdated or unnecessary may need to be removed, stored or discarded. Owners must identify in writing any belongings that have personal, financial or sentimental value and specify how they should be handled. The safest option for irreplaceable items is to remove them before handover. Personal belongings left at the property remain at the owner’s risk, subject to the terms of the management agreement.


    Purchases and replacements

    Low-cost operational items may be purchased by CTRL Booking and added to the next owner invoice. For higher-cost items, we
    normally seek approval and may require payment before proceeding. Delivery, installation or assembly may be charged where meaningful staff time or external labour is required. In a genuine guest-impacting emergency, we may need to act before receiving a reply, after making reasonable efforts to contact the owner.

    Freelance technicians

    Speed is critical when plumbing, electrical, A/C or similar problems affect an active stay. We work with trusted independent professionals who can often respond faster than larger service companies. They may not always provide formal quotations in advance, and they may not always be the cheapest option, but rapid, reliable intervention can prevent a much larger refund or review problem.

    What CTRL maintenance covers

    Small routine tasks such as changing bulbs or batteries, clearing a simple blockage or adjusting a cabinet hinge may be handled within normal management. Larger repairs and specialist work are charged to the owner. Costly non-emergency repairs are normally discussed in advance; urgent repairs that materially affect an active guest may be authorized immediately when delay would create greater risk.

    Low-season maintenance programme

    During high season, the priority is keeping every property clean, functional and guest-ready between bookings. Cosmetic work and non-urgent improvements are better scheduled for the low season. Each winter, we aim to identify maintenance needs, worn items and recommended improvements so owners can approve a sensible programme before the next peak season.

    Old appliances and A/C units

    We do not recommend waiting for critical appliances to fail during a booking. If an A/C unit, washing machine or other important appliance shows signs of unreliability, we may recommend proactive replacement. A planned replacement is usually less disruptive and less expensive than an emergency failure during an occupied stay.

    Annual A/C servicing

    Annual servicing of all A/C units is strongly recommended to improve air quality, efficiency, noise levels and reliability. The handbook’s current operational reference price is €30 + VAT per unit, but supplier pricing can change and should be confirmed when service is scheduled. Where recommended servicing is declined, owner responsibility may apply to guest compensation arising from preventable A/C problems.

    Fumigation and pest control

    Preventative fumigation may be carried out periodically because Cyprus’s climate makes occasional insect activity unavoidable. Persistent infestations require professional pest-control treatment, charged to the owner. We respond quickly to guest reports, but the mere appearance of an insect is not automatically evidence of operational negligence by CTRL Booking.

    Interior door keys

    Interior door keys (except for bathroom) are generally not provided to short-stay guests because they are easily lost and can require complete lock replacement. Existing copies should be stored safely for future owner use, long-term occupation or exceptional guest requests.

    Insurance and licensing

    The owner is responsible for maintaining the licences, permits and insurance required for lawful short-term rental operation. Public-liability and property insurance should explicitly cover short-term holiday rental use. Owners should provide CTRL Booking with current copies where requested and should verify legal requirements directly with the competent authority or professional adviser.

    Villas: outdoor furniture, pool and garden

    Sunbeds, umbrellas and other outdoor items deteriorate quickly in Cyprus sun and wind and may require regular replacement. Villas must also have reliable pool and garden maintenance. Owners should provide the contractor’s name, contact details and normal visit days so we can coordinate guest expectations and access.

    Communal pools

    For properties with shared pools, owners should confirm operating months, opening hours and the responsible maintenance contact. Where no reliable information is supplied, guest communications can only reflect the best information available, and CTRL Booking cannot guarantee facilities controlled by third parties.

    Electrical plugs

    Essential appliances should use Cyprus-compatible UK-standard three-pin plugs. During onboarding, non-standard plugs may be converted where it is safe and practical to do so. Owners who do not want a particular plug modified must tell us before setup.

    Peak Season

    August limitations

    August is the most operationally demanding period of the year. During peak weeks, our team prioritizes live reservations, turnovers, urgent maintenance and guest support. Non-essential projects including new-property onboarding, renovation coordination and discretionary owner requests may be postponed until operational capacity returns.

    Seasonal guest feedback

    Guest expectations and complaint patterns vary by season and market segment. In August, local demand rises sharply and we often see a higher volume of detailed service and cleaning feedback. We assess each complaint on its merits rather than assuming that a higher complaint volume automatically reflects a decline in service quality.

    Renovation & New Property Preparation

    CTRL Booking can assist with preparing properties for short-term rental, from light furnishing and decoration through to larger improvement projects. This is an additional support service rather than our core business, and live guest operations always take priority.

    • We recommend an in-person inspection before planning work.
    • Allow time for a complete action list covering repairs, furnishings, safety items, decoration, delivery/assembly, final cleaning and photography.
    • Projects are handled according to capacity and there may be a waiting list, especially before and during summer.
    • Quality takes priority over rushing a property live before it is ready.
    • If essential recommendations are declined and we believe the property will not meet an acceptable operational or commercial standard, we may decline to take on or continue management.
    • In some cases, a particularly well-prepared, efficient property may justify a different commission structure, subject to written agreement.

    Financial Reporting

    Owners receive regular financial reporting showing the key components of property performance. Depending on the booking channel and transaction, this can include gross accommodation income, platform fees, refunds or reimbursements, management commission and the net amount payable or attributable to the owner.

    Accounting note

    Owner reports are management reports for operational reference. They are not a substitute for statutory accounts, tax returns or professional accounting advice.

    Frequently Asked Questions

    What does CTRL Booking charge?

    Management is commission-based. The exact percentage is agreed per property and depends on the commercial and operational profile of the home. Factors include location, view, pool, interior design, condition, amenities, likely occupancy, expected income and management workload. The signed management agreement is the definitive source for your commission rate.

    Which booking platforms do you use?

    Properties may be marketed through Airbnb, Booking.com, CTRL Booking’s direct-booking channel (estea-rentals.com) and other suitable platforms. The channel mix is chosen according to the property and market. Concentrating bookings on a strong-performing channel can improve review accumulation and listing momentum, while multi-channel distribution can broaden demand. We manage the channel strategy operationally.

    What does an owner need to do for Airbnb?

    The owner creates and verifies the Airbnb account, verifies their phone, email and identity, adds payout details and grants the required co-host or management access. CTRL Booking then handles listing setup and day-to-day operation within the permissions provided. Account-security codes should only be shared when required for a specific authorized connection or setup step.

    Do you provide a welcome pack and guest guide?

    Yes. We provide starter consumables and guest-facing information for the stay. Digital guest information is used to centralize reservation details, check-in guidance, property instructions and local recommendations.

    Can owners see reservations?

    Yes, owners retain visibility of their listing and reservations. This transparency also helps preserve owner control of the listing and review history if the management relationship later ends, subject to the relevant platform rules and account ownership.

    How important are reviews?

    Reviews materially affect conversion, ranking and future pricing power. We focus on operational quality, responsive support, clear instructions and early complaint resolution. No manager can guarantee only positive reviews, but a consistent process can reduce avoidable negative outcomes.

    What are my tax obligations?

    Tax thresholds and rules can change. The owner is responsible for VAT, income tax and other tax compliance and should obtain current advice from a qualified Cyprus accountant or tax adviser. Any numerical threshold mentioned in an older handbook version should not be relied on without current professional confirmation.

    What are my Ministry of Tourism obligations?

    Short-term rental licensing and related requirements are the owner’s responsibility. Requirements, fees and renewal periods can change, so owners should verify the current position with the competent Cyprus authority. CTRL Booking can assist operationally with documents and process guidance where appropriate, but does not replace legal or regulatory advice.

    Can you arrange property insurance?

    CTRL Booking is not an insurance intermediary. We can point owners toward providers, but the owner must ensure the chosen policy is suitable and specifically covers short-term holiday rental activity, contents where required and public liability.

    Should I install CCTV or an alarm?

    Security systems can be useful, but guest privacy and platform disclosure rules must be considered carefully. Outdoor cameras may need to be disclosed and can affect guest perception. Alarm systems should be simple enough not to create frequent false activations. Owners should obtain current platform and legal advice before installation.

    How do platform fees work?

    Platform fee structures vary by channel, account setup and software integration and can change over time. CTRL Booking incorporates channel economics into pricing and reporting. Owners should rely on current statements and platform terms rather than fixed historical percentages.

    How do you check the property between stays?

    The property is cleaned, prepared and visually checked between reservations. Visible damage or missing items are documented where identified. Where appropriate, we assist with guest reimbursement claims through the relevant booking platform, but recovery is not guaranteed.

    What TV and entertainment should the property provide?

    Reliable streaming access is strongly recommended, with Netflix commonly used as the baseline guest option. Local television access can also be valuable, especially for domestic guests. The exact setup should be reliable, simple to use and appropriate to the property’s guest profile.

    This handbook is intended to make the management relationship easier, clearer and more predictable. Short-term rental is operationally intensive, and situations will arise that cannot be covered by a single document. Where judgement is required, CTRL Booking will act with the aim of protecting the guest experience, the property and the long-term commercial performance of the listing, within the authority provided by the management agreement.

    Order of precedence

    This handbook is explanatory. Your signed Property Management Agreement remains the binding document. Where wording differs, the signed agreement prevails.
